How to Answer WhatsApp 24 Hours a Day Without Hiring Anyone

You can reply on WhatsApp at any hour with automatic messages or an AI agent. What can be automated, what can't and how to start.

Yes, you can answer WhatsApp at any hour without someone on call, and there are three levels: automatic greeting and away messages, saved replies that you send yourself, and an AI agent that understands the customer and gets things done, such as booking an appointment. Each level covers more and takes more care. Here is what each one does and where a person should keep answering.

Three ways to answer when you're not there

Level 1: greeting and away message

The WhatsApp Business app, which WhatsApp says is built with the small business owner in mind, can greet people the moment they start a conversation and reply while you're away. It works for saying "We open at 9; we'll answer as soon as we do." It is the bare minimum and worth having. But it sends the same text to everyone: it doesn't understand what the customer asked.

Level 2: quick replies

The same app lets you save quick replies, shortcuts for the messages you send all the time: prices, location, hours. They save typing, but you are the one who picks them when you answer. If nobody is there, nobody sends them.

Level 3: an agent that converses and gets things done

An AI agent reads what the customer writes in everyday language, with typos and out-of-order questions, and replies. Some only answer with saved texts, and some also take action. NegocIA, Byte and Brand's product, has Ada. Ada checks your real calendar before offering a time, books the appointment, moves or cancels it if the customer asks, sends a reminder a day ahead and follows up with whoever asked and never wrote back.

Here is what it looks like: at 11:38 at night someone writes "Hi, do you have anything open Friday?" The agent replies with the two free slots you have that day on your calendar. The customer answers "3:15 works, thanks", and it is booked, with a reminder the day before. Nobody on your team was awake.

LevelWhat it doesWhat it doesn't do

What to automate and what not to

What is worth leaving to an agent:

  • The questions people ask you over and over: prices, location, hours, what each service includes.
  • Booking, moving and reminding appointments against a real calendar.
  • Following up with whoever asked and never wrote back.
  • Telling clients about a schedule change.

What is worth keeping with a person:

  • Complaints and upset customers.
  • Exceptions, discounts and anything that changes depending on who is asking.
  • Anything that involves a diagnosis, legal advice or a promised result.

A practical rule

Automate what you would answer the same way all twenty times. Leave to a person what would change depending on who is asking. A good agent also hands you the conversation when something falls outside what it knows, instead of making things up.

An agent doesn't replace whoever already answers your WhatsApp, either. It takes the repetitive part off their plate so they can focus on what needs a person, and it covers the nights and Sundays that nobody covers today. Your team can take over the chat with a single message and hand it back just as easily.

Before you switch on any automation, write three things on a sheet of paper: your current hours and prices, which services you offer and which you don't, and who gets the delicate cases. An agent can only be as correct as the information you give it. If your prices changed and nobody updated them, the agent makes the mistake but your customer pays for it.

Run the numbers before you decide

Before paying for an agent, it helps to know what not answering costs you today. The math uses three numbers from your business: how many new messages you get, how many slip away and what an appointment is worth to you. Here is an invented example with made-up numbers, so you can see the mechanics and plug in your own:

  • You get 120 new messages a month from people asking about prices, hours or an appointment.
  • Out of every 100, 30 slip away: you didn't answer in time, they cooled off or they booked elsewhere. That is 36 people a month (120 × 0.30).
  • No agent recovers everyone. If we assume it recovers half, that is 18 more people a month (36 ÷ 2).
  • Multiply those 18 by what an appointment is worth to you on average, the full ticket and not just the first visit. That result is the one you can compare against the cost of a plan.

Two common mistakes when doing this math: counting as a loss someone who was only curious and was never going to buy, and forgetting that you already answer part of your messages on time. That is why the share that slips away should come from what you actually see in your inbox, not from what you suppose.

It is an estimate built on example numbers, not a promise of results. The useful part of the exercise is the second number: if you don't know how many messages slip away, start by counting them for a week. With that real figure, comparing a plan against what you lose today stops being a hunch.

The WhatsApp rules you should know

When an agent connects to WhatsApp's business platform, Meta's customer service window applies: when someone messages or calls you, a 24-hour timer starts, and every new message or call from the customer resets it. Inside the window you can send free-form messages without prior approval. When it closes, you can only send approved templates. And you can only message people who opted in to hear from you.

In practice, a good flow replies quickly while the window is open, and any reminders or follow-ups that go out after those 24 hours have to be sent as templates.

On the NegocIA side, the number can be the one you already use or a dedicated one. Setup is a single conversation, usually under 20 minutes, and Meta's number verification can take one to three business days. The plans cover the agent and the panel; the messages Meta bills are paid directly to Meta.

Remember too that your customers' data passing through WhatsApp is personal data. Mexico's data protection law for private parties applies to it, so your privacy notice should cover it.

How to start this week

  • Write down the ten questions people ask you most on WhatsApp.
  • Turn on the greeting and away message with your real hours.
  • For one week, count how many messages arrive outside business hours and how many go unanswered.
  • Decide whether saved replies are enough or whether you need an agent that books.
  • Define which cases always go to a person, and write it down.

And test it yourself. Message your own number from another phone at eleven at night, the way a customer would, and see what comes back: whether the greeting sounds like you, whether the hours are right, whether the answer helps. That five-minute test finds more flaws than any checklist.
